A ticket scan takes 2 seconds when it works. When it doesn't, 1 confused volunteer and 1 frustrated guest can turn those 2 seconds into a 2-minute holdup, with a line of people watching from 6 feet back. That's your event's first impression, happening before anyone's even found a seat.

Most of your door problems aren't technology problems. Your QR check-in and point-of-sale tools do their job reliably, show after show. What usually goes wrong is that nobody told your volunteer at the scanner what to do when a code won't scan, or a guest shows up insisting a friend bought their ticket for them. A 10-minute briefing fixes more of these moments than any app update ever will.

Start by naming roles instead of telling 4 volunteers to just "work the door." 4 roles cover almost any event you'll run. A scanner checks tickets. A problem solver is the only person you let override anything. A cash or card point handles your on-site sales, this is where Ticketopolis's POS tools earn their keep. A greeter's entire job is making the first few seconds feel welcoming while the other 2 do their work. On a small event, 1 person might hold 2 of these roles at once, but naming them separately still means everyone knows exactly who to wave over, instead of 3 people converging on the same confused guest.

Next, agree on a script for the handful of situations that come up at nearly every event you run. Phone won't open the ticket? Your greeter points to a charging spot or pulls it up from the guest's email on a tablet at the door. Friend says they bought the ticket for someone else? Your problem solver checks the name against ID only if your event requires that, and otherwise waves the guest through, since a Ticketopolis ticket is valid wherever it's shown. QR code says already used? That one always goes to your problem solver, because it can mean a screenshot got passed around, or just a scanner glitch, and only 1 person should have the authority to sort it out on the spot. Write each of these down in 2 sentences, read them aloud at your pre-opening briefing, and your newest volunteer will sound as sure of themselves as your most experienced one.

Run that briefing at the same point every single time: right after you've tested your scanning equipment, right before you let the first guest in. 10 minutes is enough. Walk through your 4 roles. Say your 3 scripts out loud. Check that every scanner you own actually has signal and a charge, not just enough battery to turn on. Mention where your fraud alerts will show up if a duplicate or suspicious ticket comes through, so your problem solver expects it instead of getting blindsided mid-rush.

A well briefed door team changes what your event feels like in its very first moment. Your guests remember whether that moment was smooth or awkward a lot longer than they remember which system scanned their ticket.

Before your next event, write out your 4 roles and your 3 scripts on a single page, and run the 10-minute briefing with whoever's working your door, even if it's the same team you always use. Sign up free now if you haven't set up QR check-in and point-of-sale yet, and build this briefing habit in right alongside it.
