Picture it. The gym doors open 20 minutes before a kindergarten graduation. 40 families try to fit into folding chairs meant for 25. Someone's grandmother ends up standing in the back. A dad argues with a volunteer about how many seats his family was promised. No one planned this. You just never decided, ahead of time, exactly how many seats each family gets, or how those seats get proven at the door.

Why capacity, not demand, is your real problem

If you're running a school graduation, a dance recital, or a music academy's year-end show, you're not trying to sell as many tickets as possible the way a concert promoter would. Your challenge is different. You need to fit a fixed number of proud relatives into a room that was never built to hold everyone who wants to come. Say your auditorium seats 250 and 60 students are graduating this year, just as an example to show the math. The answer: 4 guest seats per student, no more. The hard part is enforcing that limit without one of your staff arguing with every family at the door, one by one, for 2 hours straight, while a line forms behind them.

Set seats per family before the event, not at it

In Ticketopolis, setup takes under 5 minutes. You create a ticket type for your event and decide how many seats each one includes. One graduate guest pass covers 4 seats. No family can claim more than their share. 5 seats won't scan, no matter how nicely they ask. If your auditorium has assigned seating, numbered or zoned tickets place each family in a specific section instead of leaving it to whoever lines up first at 8am. Running 3 ceremonies on the same day for 3 different grades? Set each one up as its own event, so the seat count for each one stays separate and accurate.

Get tickets to parents and grandparents who may not use an app

Not every grandparent is comfortable downloading a ticketing app or digging through an email inbox the morning of the ceremony. You can deliver tickets by WhatsApp as well as email, so a family's 4 seats land as a message they already know how to open, on whichever phone they own. Some families would rather buy in cash. Fine. Nobody gets turned away for not carrying a credit card.

Make door day run itself

On the day of the ceremony, scan a QR code at the entrance and each guest checks in as they arrive. 2 staff members with a phone each can clear a line of 50 people in a few minutes. A family tries to use the same pass twice? The scan catches it, fast, before it turns into an argument in front of 50 other waiting parents. That's the real payoff. The chaos at the door was never actually about ticket sales. It was about not having a system that enforces the limit everyone agreed on weeks earlier.

You don't need a big production budget or a dedicated ticketing team for any of this. 1 teacher, 1 administrator, or 1 parent volunteer can set up 1 ticket type for all 3 ceremonies, assign seats per family, and have the whole plan ready before the first invitation goes home.

Sign up free now and create your ceremony's event page in Ticketopolis. Set your seats-per-family limit, turn on WhatsApp delivery, and walk into the ceremony with a door plan instead of a guess.
